Problem:
Each day, the Sydney based law firm has approximately 2,800 staff who are assigned a work station within the companies 800 work locations Australia wide … The staff movements on a daily basis were significant with up to 200 relocations. The process of identifying and documenting these movements on their 27 separate floor plans in sydney alone with another 5 states was a massive task to say the least. It consumed an enormous part of each day for 3 administrators using graphic programs and reconciling from a spread sheet to plot and label the movements, save them to PDF and locate the updated plans on the companies intranet. The same system was applied to the task of tracking assets throughout the 27 separate floors e.g Printers, scanners, fax machine, computers, chairs, desks etc

Solution:
We became aware that the company actually had the information available relating to these staff movements through their Human Resources database … This allowed Cadplanners to dynamicaly link this information to the resultant floor plans. CADplanners sourced the latest architectural plans, disected the non-architectural elements from the CADfile and converted them to scaled Visio objects. All 27 levels were completed in this way.

The resultant plan was a complete graphic view of each of the 27 levels identifying precisely the daily positions of where the people and assets were located … In addition custom properties could be accessed directly through the Visio 2003 Internet Explorer plugin from each workstation giving users another interface other than their standard PDF output. Custom properties allowed the user to access details i.e name, phone number, location, staff position etc and for assets the location ,type of equipment and for management details such as cost, depreciation value and schedule, lease terms, service dates etc

Problem Solved :
The final task was to automate the complete process, thus enabling no human intervention. A service was created which activates at a scheduled time, all floors were dynamicaly re-constructed based on the latest human resources data, the plans were then converted to PDF and located to the company intranet system. The automation and the entire project was installed on their server, tested and implemented. The automation is scheduled in the early hours of each morning prior to the start of each day.
